Service and Recharge Center Support

The Dean’s Office reviews all annual rate proposals per UW Policy.

The Planning and Budgeting team reviews the annual rate proposals before they are approved by MAA. These can be sent to eFAST@uw.edu with the subject title “Annual Rate Proposal for Cost Center XXXXXX”

Request for Service or Recharge Subsidy

All Service and Recharge Centers have one of three resources that are allowed within their cost center:

  • RS100073 – Center Operations
  • RS100076 – Reserves
  • RS100075 – External Center Surcharge Resource

While recharge or service centers should be self-sustaining, there are rare times that a unit will choose to subsidize a recharge/service center since it is part of their educational or research mission. A unit may have received a specific gift from a donor to support the center for instance. In these cases, the unit should fill out a request to subsidize a service or recharge center form and send to efast@uw.edu with the subject title: Subsidy Request for [insert cost center number and name]

Once the form is received, the shared environment accountants will process the subsidy within 10 business days.

Is Your Cost Center an Auxiliary Center or a Service/Recharge Center?

Workday has introduced additional levels of confusion due to the term “cost center” which was often what universities used to specifically describe a self-sustaining service or recharge center. Not all cost centers that engage in auxiliary activites are Service and Recharge Centers.

Units may type in the cost center number and name into workday to review if their cost center is a service or recharge center.

  1. Type in the name of the cost center in the search bar
  2. Select the cost center which will bring up:
    • Details Column- default worktags and cost center hierarchy
    • Roles Column: different staff who hold security roles related to the cost center
    • Members Column- staff whose salary defaults
    • Additional Data Column
    • Actuals with Exclusions- Embedded financial report that combines all resources and may lag by one day from system actuals
    • Related Grant Budget to Actuals Column-Not applicable to Service and Recharge Centers
    • Expendable Gift Activity- Not applicable to Service and Recharge Centers
  3. Look at the details column. It will have the hierarchy information of the cost center which will show two hierarchies:
    • the Unit Hierarchy (where the cost center resides in the unit. In the case of the College of the Environment, it will fall under the Special Operations Hierarchy of every unit)
    • The Alternative Hierarchy for MAA called: All Recharge Center Cost Centers (Service and Recharge Center CCH 02)
